Overview of Candlewood PTA Board Positions 
Executive Board

President
  • presides at all meeting of Candlewood PTA, the board of directors, and executive committee;
  • coordinates the work of the officers and committees of Candlewood PTA to advance its work for the community;
  • serves as an ex-officio member of all committees except the nominating committee
  • reviews bank statements monthly in cooperation with the treasurer;
  • represents Candlewood PTA at community meetings, or names an alternate to do so as needed.  
  • takes initiative within her/his board role and performs related duties proactively to support the PTA;

Executive Vice President
  • acts as an aide and advisor to the president;
  • performs the duties of the president in her/his absence or her/his inability to serve; 
  • takes initiative within her/his board role and performs related duties proactively to support the PTA;

Treasurer
  • maintains custody and oversight of all books of account, records, and funds of Candlewood PTA in line with the organization’s bylaws and best practices as delineated by Maryland PTA and Montgomery County Council of PTAs.
  • keeps a full and accurate account of receipts and expenditures including reconciliation of the bank statement each month;
  • makes disbursements as authorized by the president or board of directors;
  • presents a written financial statement at every meeting of the executive committee, the board of directors, the general membership and at other times when requested by the board of directors;
  • makes a final report before the newly elected officers officially assume their duties;
  • is also responsible for: preparing and filing all necessary tax forms; ensuring that the PTA’s accounts are examined at the close of the fiscal year and upon change of treasurer by an auditor or an auditing committee of not less than three (3) persons who, satisfied that the treasurer's annual report is correct, shall sign a statement of that fact at the end of the report. Note: An auditor or an auditing committee shall be selected by the board of directors at least thirty (30) days before the new officers assume their duties takes initiative within her/his board role and performs related duties proactively to support the PTA;

Secretary
  • records the minutes of all Candlewood PTA meetings, including those of the board of directors and executive committee;
  • reads the minutes of the previous meeting at PTA community meetings;
  • files all records as necessary to help insure continuity of operations and appropriate transition planning;
  • maintains a current copy of the bylaws;
  • maintains a current membership list; 
  • takes initiative within her/his board role and performs related duties proactively to support the PTA;

Vice President – Student Enrichment
  • manages and coordinates all tasks, activities, and scheduling associated with after-school student enrichment programs, including, but not limited to ensuring proper insurance is held by each selected vendor per Maryland PTA guidelines parents who register their child(ren) for after-school enrichment sign the appropriate waiver form per Maryland PTA guidelines
  • coordination of the publicity of these programs with the Vice President for Public Relations;
  • takes initiative within her/his board role and performs related duties proactively to support the PTA;

Vice President –  Fundraising
  • manages and coordinates all tasks, activities, and scheduling associated with fundraising events, including, but not limited to, ensuring 
  • coordination of the publicity of events with the Vice President for Public Relations
  • funds raised are transferred directly and immediately to the treasurer
  • takes initiative within her/his board role and performs related duties proactively to support the PTA;

Vice President – Events
  • manages and coordinates all tasks, activities, and scheduling associated with community (eg, non-fundraising) events, including, but not limited to, ensuring 
  • coordination of the publicity of events with the Vice President for Public Relations
  • ensures that any funds received during the course an event are transferred directly and immediately to the treasurer
  • takes initiative within her/his board role and performs related duties proactively to support the PTA

Vice President – Public Relations 
  • manages and coordinates all public relations associated with the PTA, including, but not limited to, ensuring accurate, consistent, organized, and timely communication of events and meetings to the community, particularly via email, social media, announcements via the Candlewood morning announcements (in cooperation with Candlewood leadership), and flyers that go home in back backs;
  • coordinates the publicity of events with the Vice President for Public Relations

Delegate to the Montgomery County Council of PTAs
  • represents the interests of the PTA at monthly and other MCCPTA meetings
  • reports back to the community on key MCCPTA meeting proceedings, priorities, and decisions
  • monitors the MCCPTA Yahoo group and shared selected items with the community directly via the Candlewood PTA Facebook page
  • takes initiative within her/his board role and performs related duties proactively to support the PTA
